How many categories should an event planner select on their Google Business Profile?

Select every category that genuinely reflects a service you offer, not just your primary specialty, since Google allows one primary category plus several secondary ones and each additional relevant category expands the searches where your profile can appear. A planner offering weddings, corporate events, and milestone birthday parties who only selects "Wedding planner" misses an entire pool of searchers looking for those other services. Reviewing your category selections annually, since Google periodically introduces new options, keeps your profile matched to how your business has actually grown and diversified over time.

Why does the service area setting matter so much for event planners?

Most planners work across an entire region rather than from a single location clients visit, and Google's own guidance confirms that local rankings depend primarily on relevance, distance, and prominence. A planner based in Huntsville who regularly works in Decatur, Madison, and the Shoals needs to list each area explicitly rather than relying on Google to infer their actual travel radius from a single business address. Planners serving South-Central Tennessee alongside North Alabama should be especially thorough here, since cross-state coverage is easy to underrepresent in a profile's default settings.

What kind of photos should event planners upload to their profile?

Real photos from real events you planned, not generic stock imagery of table settings that could belong to any planner anywhere. Full room transformations, timeline coordination in action, and behind-the-scenes moments demonstrate the actual planning expertise clients are paying for, which is different from the finished aesthetic a wedding photographer would separately capture for the couple. Uploading new photos after every event, rather than in occasional batches, keeps your profile looking active and gives Google an ongoing signal that supports the prominence component of local search rankings.

How important are reviews for winning event planning clients?

Extremely important, since event planning is one of the most trust-dependent purchases a client makes, often involving thousands of dollars and an unrepeatable occasion. BrightLocal's 2026 research found 97% of consumers read reviews before choosing a local business and 31% will only consider businesses rated 4.5 stars or higher. Reviews describing specific problem-solving moments, a vendor cancellation handled smoothly, or a timeline that came together despite a delay, tend to be far more persuasive to prospective clients than generic reviews that only mention having a nice time.

How should planners handle and respond to client reviews?

Monitor your Google reviews daily and respond promptly and professionally to every one, including negative ones. A thoughtful reply that mentions specific moments from the event shows prospective clients the expertise you actually brought, while a calm, constructive response to criticism shows how you handle problems under pressure. Earn detailed reviews through great service and clear communication throughout the planning process, and showcase your existing reviews on your website and social channels so engaged couples and corporate clients can see proof of your work. Keep your profile information consistent as well.

Should event planners respond to negative reviews, and how?

Yes, always, and the response matters as much as the review itself. A thoughtful, specific reply that acknowledges a concern without becoming defensive often builds more trust with prospective clients than another five-star review would, since it demonstrates exactly the composure and problem-solving skill clients are hiring a planner for in the first place. Responding within about a week of any new review, rather than letting a backlog build up and then responding to everything at once, signals ongoing, active management of your reputation rather than reactive damage control.

Does Google Business Profile matter more or less than referrals for event planners?

They work together rather than competing, and both matter enormously. Referrals from venues, vendors, and past clients tend to produce your highest-converting leads, but a strong Google profile captures an entirely separate pool of prospective clients who are searching generically without any personal connection to your business yet. A referred client will frequently check your Google profile to validate the recommendation before reaching out, which means a thin or outdated profile can quietly undermine even a strong word-of-mouth referral before the client ever calls.

How often should an event planner update their Google Business Profile?

Treat it as an ongoing part of your business operations rather than a one-time setup task, ideally touching it after every event with new photos and following up for reviews. Service areas, categories, and business hours should be reviewed at least quarterly to ensure they still reflect how and where you are actually working. Planners who treat their profile as a living asset, rather than something set once at signup and forgotten, consistently outperform competitors with more impressive portfolios but neglected, stagnant profiles in local search results.
